How TutorPlanning collects, uses, and deletes personal data.

1. Who we are

TutorPlanning is a mobile app for planning tutoring (“bijles”) hours. Roles include tutor (admin), student, parent, and platform operator.

The service is operated by Operator (Netherlands).

Controllers. For a tutoring practice (schedule, students, parents, lesson history, invoices created by the tutor), the tutor who runs that practice is typically the data controller. We (the operator) provide the app and infrastructure and process that data as a processor on the tutor’s instructions, except where we determine purposes ourselves (for example platform accounts, security, crash diagnostics, and this website).

2. What data we process

Depending on your role, we may process:

  • Account & profile: display name, login identifier / email, password (stored hashed by our auth provider), role, optional contact details the tutor stores for you.
  • Scheduling: availability, bookings, waitlist (“watching”) entries, cancel/absent status, lesson notes, parent–student links.
  • Billing (tutor-side): hourly rates, invoice issuer details, and month invoices the tutor generates (often kept on the tutor’s device when shared/exported).
  • Device settings: language, notification preferences, and similar settings stored on your device.
  • Diagnostics: crash and error reports (via Sentry) which may include device/app technical data and limited context needed to fix bugs. We do not use ads or sell personal data.

The app requires an account. We do not show third-party advertising and do not offer in-app purchases through the App Store or Google Play.

3. Why we process it (purposes & bases)

  • Provide the tutoring calendar and related features (performance of a contract / legitimate interests of the tutor and users).
  • Secure accounts, prevent abuse, and keep the service reliable (legitimate interests / legal obligations).
  • Improve stability via crash reporting (legitimate interests; you can contact us about objection where applicable).
  • Comply with store and legal requirements (legal obligation).

4. Where data is stored

Cloud accounts and shared schedules are hosted with Supabase (authentication and database). Crash reports may be processed by Sentry. Local demo mode (if used) keeps data on the device only.

Providers may process data in the EU and/or other regions under appropriate safeguards. Ask us if you need the current hosting region for your deployment.

5. Sharing

We share personal data only as needed to run the service:

  • Within your tutoring practice (e.g. tutor sees student bookings).
  • Infrastructure providers listed above (under contracts).
  • When required by law or to protect rights and safety.

We do not sell personal data.

6. Retention & deleting your account

You can delete your account in the app (Settings, or the Accounts hub for platform operators). In short:

  • Students: login, email, and contact details are removed. Past lessons stay in the tutor’s records under your name so the tutor can still invoice. Upcoming lessons are cancelled; waitlist and parent links are cleared.
  • Parents: login and contact details are removed; links to students are cleared. Student lesson history remains for the tutor.
  • Tutors (admins): login and contact details are removed. Schedule and student data for the practice remain. The last admin of a practice cannot delete themselves until another admin exists.

For broader erasure or export requests (GDPR), use the support contact form. Some requests may need to go through your tutor if they are the controller for practice data.

7. Children & age

The app is intended for tutoring contexts with users generally 14+. Tutors who create accounts for younger learners are responsible for obtaining any required parental consent under applicable law.

8. Your rights (EEA/UK and similar)

Subject to law, you may request access, rectification, erasure, restriction, portability, or object to certain processing. You may also lodge a complaint with your local supervisory authority (in the Netherlands: Autoriteit Persoonsgegevens).

9. Changes

We may update this policy. The effective date at the top will change. Material changes may also be noted in the app store “What’s New” or in-app notices when appropriate.
